Who we are

Ask, with Patience is operated by Humongo Limited, a company registered in Northern Ireland (company number NI652766), registered office 8 Carnmoney Court, Newtownabbey, Northern Ireland, BT36 6UZ. Humongo Limited is the data controller for the information described in this policy. You can reach us at help@askwithpatience.com.

What data we store

When you use Ask, with Patience, we store the following, associated with your account:

  • Your account information (name, email address, job title)
  • Your organization's profile (name, mission, goals, campaign details)
  • Donor records you create or import, and interaction logs
  • Your conversation history with Patience, and summaries of those conversations
  • Personal coaching notes Patience keeps about you, and any instructions you give Patience
  • Reminders you set
  • Usage records (sign-ins, conversations started, donors created) and subscription status
  • If you took the public Fundraising Readiness Assessment: your answers, results, and the email you provided

If you use voice input, your audio is transcribed and then discarded — we do not store recordings.

Where your data is stored and processed

Your data is stored in a Supabase-hosted PostgreSQL database in the AWS London region (eu-west-2), in the United Kingdom.

The application itself runs on Vercel infrastructure in the United States (Washington, D.C.), so your data is processed in the US each time you use the service. Conversation text is processed by Anthropic, and voice input by OpenAI — both are US-based providers. Payment processing (Stripe), transactional email (Resend), and our analytics and error-monitoring tools also operate from the United States.

Who can see your data

Your conversations with Patience are private to you. No one else — including other members of your organization — can read your conversations, your reminders, or Patience's personal coaching notes about you. This is enforced at the database level, not just in the app.

If your account is part of a team, members of your organization share: the organization profile, donor records, and logged interactions (marked with who logged them). Your personal notes on a donor — relationship, personality type, estimated capacity, next steps, and notes — are visible only to you.

Our staff do not read your conversations or donor records in the ordinary course of operating the service. Limited administrative access exists to run the service — for example, to fulfill a support or deletion request you make — and aggregate usage counts (never content) are visible to us for operating the product.

Third parties that process your data

Anthropic (Claude API)

Processes all conversation text, including the organization and donor context sent with each message. Per Anthropic's commercial API terms, inputs and outputs are not used for model training by default. Methodology text is cached by Anthropic for up to 1 hour per session for performance (ephemeral caching, not permanent storage).

OpenAI (Whisper API)

Processes audio recordings for transcription only, when you use voice input. Per OpenAI's API terms, API inputs are not used for training by default. OpenAI may retain API inputs for up to 30 days for abuse monitoring.

Supabase hosts our database and sign-in system (PostgreSQL with row-level security). Vercel hosts the application. Stripe processes payments — your card details go directly to Stripe and never touch our servers; we store only billing identifiers and subscription status. Resend delivers transactional email (verification links, receipts, reminders). Cloudflare Turnstile screens signup for bots.

For product quality we use PostHog (usage analytics — event counts tied to an account identifier; no donor names, conversation content, or gift amounts), Sentry (error monitoring, with personal data scrubbed before sending), and Langfuse (AI performance metrics — token counts, timing, and cost; not the content of your messages). Session recordings are disabled.

What we don't do

We do not sell your data. We do not use your conversations or donor records to train AI models, and per our AI providers' API terms, your inputs and outputs are not used by them for model training by default.

Data retention

Your data is retained for as long as your account exists. If your trial or subscription ends, your account becomes read-only and your data remains available to you; it is not automatically deleted. Assessment results not connected to an account are deleted after 90 days.

Deleting your account and data

You can delete your account yourself at any time from the Billing page. Deletion is immediate and permanent: your profile, conversations, reminders, and personal notes are removed, and — if you are the account owner — your organization's profile, donor records, and interaction logs as well. Any active subscription or trial is cancelled at the same time; no further charges occur. An owner with teammates must remove them before deleting the organization. If you leave a team (or are removed), your private data is deleted; donor records and interactions you contributed remain with the organization, no longer attributed to you.

Deleted data may persist in our database provider's encrypted backups for up to 7 days, after which those backups are overwritten. Stripe retains billing records as required by financial regulations.

Sensitive data guidance

This system stores donor information you enter. You are responsible for ensuring you have the right to store and process this information.

Do not include highly sensitive personal data in donor notes — for example, health conditions, addiction or recovery status, immigration status, or legal matters.

If this information is relevant to your fundraising relationship, note it in general terms (e.g., "going through a difficult personal situation") rather than specifics.

About the advice Patience provides

Patience is an AI tool, not a professional fundraising consultant, financial advisor, or legal advisor. While Patience draws on real fundraising methodology and expertise, Patience's suggestions are informational and should not be treated as professional advice.

You are responsible for evaluating any advice, strategy, or recommendation Patience provides before acting on it. Decisions about fundraising strategy, donor communications, and financial matters are ultimately yours to make.

Anthropic's AI technology powers Patience's responses. Like all AI systems, Patience can make mistakes, misunderstand context, or provide suggestions that don't fit your specific situation. Always verify important details, especially dollar amounts, donor information, and strategic recommendations, before acting on them.

By using Ask, with Patience, you acknowledge that neither Ask, with Patience nor its creators are liable for outcomes resulting from actions taken based on Patience's suggestions.
